Why User Roles Are the Secret to Success

Gemini Smart provides user roles designed to meet your team’s unique needs. This ensures every member has the right access and responsibilities to thrive.

💡 Key Points:

  • Admins can manage all users and teams, update roles, and configure settings.
  • Admins cannot change their own role—this requires another admin.
  • Every account must have at least one admin at all times to maintain functionality.

How to Add and Invite Team Members

Inviting new team members to Gemini Smart is quick and easy. When invited, users receive an email with a link to set up their account.

Steps to Add a User:

  1. Go to the Users section.
  2. Click the Add Person button.
  3. Enter the user’s email address and select their role.
  4. Hit Invite—and voilà!

💡 Pro Tip: New users can set up their account by clicking the link in their email invitation.


Resend Invitation Links

If the invitation link expires (after 24 hours), you can resend it in seconds.

Steps to Resend:

  1. Go to the People & Teams section.
  2. Locate the user with a Pending status.
  3. Click the three dots on their profile.
  4. Select Resend Invitation—and you’re good to go!

Managing User Roles and Permissions

Admins can update roles and basic user information, ensuring everyone has the right tools for success.

Steps to Update User Information:

  1. Go to the People & Teams section.
  2. Click the user’s profile.
  3. Select Edit to update their role or account type.
  4. Click Save Changes to confirm.

💡 Note: Admins cannot change their own role. If you’re the sole Admin, contact support for assistance.


Deactivating and Deleting Users

Deactivating a User

This temporarily blocks access while retaining the user’s assigned data.

Steps to Deactivate:

  1. Go to the Users section.
  2. Select the user you want to deactivate.
  3. Use the slider button to deactivate the account.
  4. The user will be logged out and lose access to Gemini Smart.

Deleting a User

This permanently removes the user and all associated data in Gemini Smart.

⚠️ Warning: Deleting a user is irreversible.

Steps to Delete:

  1. Go to the Users section.
  2. Select the user you want to delete.
  3. Click the trash icon and confirm the action in the pop-up.

What to Do If an Invite Link Expires

If a user doesn’t accept their invitation within 24 hours, the link expires. No worries—just resend the invite, or the user can click Forgot Password on the Gemini Smart login page to regain access.
